- When the Community determines that additional funds are needed for our project, we will hold a cash call.
- The Finance Team will give notice to all Member households at a General Meeting if possible, and also via email or any other method necessary to reach all Members. If Members are going to be out of email reach, they should let the Finance Team know how they can be reached.
- The Treasurer will decide on his/her offer before notifying the Finance Team of the cash call amount, and other Members who are part of the Finance Team will get their offers to the Treasurer before the announcement to the Community, so as to not be influenced by other Members' responses.
- Within four (4) calendar days from the date the cash call is announced ("Notice Period"), Members will notify the Finance Team in a confidential communication by email or phone what they are able to contribute, even if it is $0. The Finance Team will acknowledge receipt of the notice.
- If the Cash Call cannot be met, the Finance Team will notify the Community by phone or email within one (1) day after the end of the Notice Period to let them know that we cannot proceed until additional funds are volunteered. Members will have two (2) days after this announcement to notify the Finance Team if they want to increase the amount they can offer to contribute.
- If the Cash Call has been met, the Finance Team will then determine the amounts due from all of the Members willing to meet the call. This will be done proportionally according to the amounts proposed by all responding Members. If the Cash Call has not been met, the Finance Team will notify the Community, and the Community can decide whether to attempt another round of bidding, or to reduce expenses.
Note: In an urgent matter, this process will be expedited using the Urgent Decisions Process
Example:
The community decides we need $5,000 in excess of our available funds, so a Cash Call is announced. It will also be announced via email and, if necessary, phone, to ensure that all members know about the Cash Call with enough time to make a contributionif they want.
Within the next 4 days, the Member households contact the finance committee with the following offers (in excess of amount needed):

At this point, the Finance Team determines the amount due from each Household willing to meet the call by figuring the appropriate proportions:

The Finance Team will then contact the following households to let them know that they owe the following amounts:
